1. Fees Policies & Procedures

1.1 All the fees must be paid in full within the first week of each term. If payment is not received on time, a late fee of NZD $30 will apply, and the student’s enrolment may be cancelled.

1.2 Fees are based on a 10-week term. For students who enrol after the term has begun, fees will be calculated based on the remaining number of classes. In the case of public holidays, class rescheduling or make-up classes will be arranged accordingly.

1.3 Unpaid fees by the end of the term will be referred to a debt collection agency, and the student/guardian will be liable for any additional recovery charges.

1.4 Adult class students must pay an additional fee for canvases, depending on the size and type. Prices start from NZD $10.

1.5 Adult self-help cards and membership cards are non-refundable once purchased.

1.6 Adult self-help cards and membership cards are for individual use only. Shared usage is strictly prohibited.

If found, the card will be voided immediately. A transfer fee of NZD $50 will apply if the card needs to be transferred to another person.

1.7 Membership cards can only be used for painting classes at Art Space Studio. They cannot be used to purchase painting materials or attend other types of courses. Additional fees apply for any such services.

1.8 Payment for adult self-help or membership cards must be made in full before classes begin.

1.9 Adult membership card holders may freely use any painting materials offered in the studio, including oil, acrylic, watercolor, and colored pencils—at no extra cost.

2. Class Rescheduling, Leave, and Make-up Policy

2.1 Class Rescheduling

  • Students are strongly encouraged to reschedule their class first, rather than applying for leave.

  • Rescheduling may be made to another class of the same level within the same week, as long as there is availability.

  • There is no limit on the number of rescheduling requests, subject to class capacity.

2.2 Leave Requests

  • If a student is unable to attend any class during the entire week, a leave request may be submitted instead.

  • For leave requests, one make-up class may be arranged within the first or second week of the following school holiday period.

  • Students who take two or more leaves in total (including two) within a term will not be eligible for additional make-up classes.

  • Group class students may not request make-up lessons in the form of private or VIP one-on-one classes.

2.3 Holiday Program Leave & Materials Policy

  • Due to advance preparation and pre-ordering of craft and art materials, absences during holiday programs:

    • Do not qualify for make-up classes.

    • Cannot be postponed to the following term or transferred to other courses.

    • Do not entitle the student to any refunds, credits, or fee offsets.

  • Parents are responsible for confirming students’ availability before enrolling in holiday programs.

2.4 Make-up Class Completion Requirement

  • All approved make-up classes, whether for regular term or holiday programs, must be completed within the same academic term.

  • No classes may be carried forward to the following term, transferred to other terms, or accumulated.

  • No refunds, credits, or fee offsets will be provided for any unused, missed, or uncompleted classes.

2.5 Notification Requirement

  • All rescheduling or leave requests must be submitted at least 24 hours in advance via WeChat, phone, or email, and are subject to teacher approval and class availability.

3. Refund Policies & Procedures

3.1 If, for any personal reason, a student decides not to attend the remaining classes in a term, the studio will only provide a refund for students who have attended fewer than three sessions. In such cases, 50% of the remaining tuition fee will be refunded to the original payment account.

Students who have already attended three or more sessions, including those enrolled in all four terms of the year, are not eligible for a refund.

Students who have withdrawn from Art Space Studio and wish to return must re-enroll. Placement will be arranged based on availability and class schedule.

3.2 Refunds will not be issued for absences during holiday programs or for missed holiday classes.

3.3 In cases of illness or special circumstances, one make-up class per term may be arranged. All make-up classes must be completed within the same term and are subject to availability and teacher approval.

3.4 If a student cannot attend their regular class, with teacher approval, they may reschedule to another class of the same level during the same week, subject to availability.

3.5 For all absences or rescheduling, students must notify Art Space Studio at least 24 hours in advance via WeChat, phone call, or email.

3.6 The studio may adjust or rotate teachers each term based on course arrangements and scheduling. Students and parents will be notified in advance. We apologize for any inconvenience and appreciate your understanding.

3.7 Refunds will not be granted due to teacher changes. Art Space Studio reserves the right of final interpretation.

3.8 Refunds or exchanges for painting materials/tools purchased from Art Space Studio are only accepted in cases of damage, product defects, or incorrect shipments.

Returns for any other reason (e.g., change of mind or intentional damage) will not be accepted.

3.9 If you receive a damaged or incorrect item, please take a clear photo of the product and provide it with your request. Art Space Studio will take full responsibility for quality issues.

3.91 If you wish to return an item, please contact us first to obtain our return address. All items must remain in original condition—unused, undamaged, and with all tags attached.

3.92 Art Space Studio is not responsible for packages lost during return shipping. In such cases, the courier company will bear full responsibility.

4. Covid-19 and Other Irresistible Factors

4.1 Due to Covid-19, government lockdowns, or other force majeure events that prevent the continuation of in-person classes, Art Space Studio will transition to online art classes.

All enrolled students are required to cooperate with the school’s arrangement for online learning.

Class times can be adjusted to better suit students’ availability. If a student chooses not to participate in the online class, no make-up lessons or refunds will be provided.

4.2 All online classes and any approved make-up lessons must be completed within the same term. They cannot be postponed to the next term.

5. Newsletters

Newsletters are sent out at the beginning of each term with important course updates and announcements. These can be found on the notice boards of each Art Space Studio campus and on our official website.

It is the responsibility of parents and students to regularly check and read these updates.

6. Health, Safety, Injury & Medical Conditions Policies & Procedures

6.1 Art Space Studio is not liable for any personal injury or loss/damage of personal belongings while on the studio premises.

6.2 We strive to provide a safe learning environment and minimize any risk of injury.

Students are under teacher supervision during class only. Staff are not responsible for supervising students before or after class time.

7. Class Attendance Policy

7.1 Regular and punctual attendance is crucial for student progress.

7.2 Students who are late or absent without prior approval will be marked as absent and are not eligible for make-up classes.

8. Photography & Videoing of Students

8.1 Art Space Studio may take photographs or videos of student artwork or class moments for promotional purposes on our website or official social media, with prior consent.

8.2 Parents are welcome to take pictures of their children’s artwork after class. Please refrain from taking photos during class, as it may disturb the teaching process.

9. Privacy Act

Art Space Studio collects student information via enrollment forms.

Under the Privacy Act 1993, you have the right to access and request correction of your personal data at any time. All data is stored securely in the Art Space Studio office.

10. Contact Information

10.1 Parents/guardians are responsible for informing Art Space Studio of any changes to contact details, including phone numbers, email addresses, or residential addresses, in a timely manner.

10.2 All students—whether attending group or private lessons—must complete an enrollment form and agree to the terms and policies of Art Space Studio before beginning class.

11. Dismissal Policy

Art Space Studio reserves the right to dismiss any student who intentionally damages property or causes serious disruption to the learning environment.

This decision is made at the discretion of the Studio Director Team.
